(This message is going out to everyone who’s contacted me to marshal Leconfield, and we’ve now been told what info the MoD require, so here we go for 2023 !)

Good afternoon all, and thank you for volunteering to help run this event, because without marshals, the competitors can’t play!

If anyone else from your club would like to come any marshal, please add them to the Registration form, or send this email on to them.

This year we’ve made some changes to the stage layouts, which we hope you’ll like.

As before, we’re trying to speed up the access procedure for marshals on the day by doing most of it in advance, so please read the following notes, and if you have any queries, please come back to me?

Likewise, if the electronic gremlins have crept in and any part of this email or the attached forms is illegible, please let me know?

NOTES:-

PRIOR TO THE EVENT:-

1) Marshals’ Pre-registering

All marshals must be pre-registered for the event, using the attached Marshals’ Registration Form.

Please note that to enable the MoD to pre-prepare your access passes, on part 2 of this form we need the following details about every marshals’ vehicle, :-

  • Registration Number
  • Make/Model
  • Names of everyone who will be in that vehicle
  • HOWEVER – If vehicle/sharing details are not known, don’t delay returning the form, please put TBC – but we we MUST have the vehicle details ASAP or access on the day may be denied !!

2) Marshals Signing-On

To save time on the morning of the event, please use the attached Motorsport UK Officials’ forms for “over 18’s” or “under 18’s” for pre-event signing on.

Please complete and email your form back to me ASAP, together with a copy of your 2023 Marshals Licence.

If you don’t have a 2023 Licence, but still want to marshal, please let me know when you return your form.

A typed “Signature” is valid, so you don’t need to print and hand-fill the form.

If you are in charge of a group, please pass this info on to them and ask them to reply to me (direct or via yourself) ASAP.

3) Marshals’ Paperwork

Marshalling and radio crew information together with stage plans and details of your marshalling location will be supplied to you either by post or electronically before the event

– so you already know what you’re doing, and where you’re going, before you get there!

OVERNIGHT CAMPING

There is limited on-site camping available of Saturday night, so if you wish to do so, it’s first-come, first served, so please let me know when you send your forms back to me, as we need to pre-book you in with the MoD

BE AWARE that:-

  • There is no water or catering at the venue for the duration of the event, so please bring all your own food and drinks.
  • The MoD will NOT permit any BBQ’s (coal, gas or otherwise) or any naked flames on the site – so no cooking and/or barbecuing will be allowed, except on the cooking facilities specifically built within a caravan/campervan.

ON THE DAY:-

Please Note – Security 

Leconfield is a live MoD base and the MoD will have pre-printed car passes and name tags for all the registered marshals and competitors – a total of some 600!

When you arrive at the venue on the day, cars will be PNCR-checked on the way in and the security team expect the pre-listed people to be in the pre-listed vehicles.

They do NOT like surprises, so any vehicle whose registration does not appear on their list, and/or any marshals not on their list will NOT be allowed to enter the base, and may be detained and/or arrested.

Arriving at the venue

The address is Normandy Barracks, Leconfield HU17 7LX.  Whether you are coming from the north or south, follow the road signs for Normandy Barracks.

The entrance you need, Dray Drive, will be arrowed and is to the east of the A164, 3 miles north of Beverley, and just south of Leconfield village.

On the access road leading to the gatehouse, to save time, all marshals will queue on the RIGHT, and competitors on the left. 

When you get to the security gate, everyone in your vehicle must be wearing their Hi-Viz and have their photo ID (Motorsport UK licence, passport or driving licence) available.

Your vehicle registration number will be picked up by their NPR cameras, and you will be asked to confirm the names of everyone in the vehicle.

This needs to match the list you have already sent us!

You will then be issued with MoD car and marshals’ passes.

Once through the gate, please follow the signs/arrows to the marshals’ “signing in” point and give your names, (so we know you have arrived!), then proceed, stage direction, to your specific marshalling location.

Provisional Timings for Marshals:-

Gates open:   05.30 to 07.30
Signing in:      05.31 to 07.31 (but please be early if possible!)
On post by:    07.45
Radio Check: 08.00 (approx.)
First Car:        08.31

Refreshments

There will be no water or catering at the venue, so please bring your own food and drinks.

This is an old airfield, and if it is a hot day there is little shade, so please bring plenty of liquids, plus sun cream and appropriate clothing and hats!.

Marshals’ goodies and Prize Draw

There will be marshals goodies awaiting you at sigbning-in, and a marshals’ draw for cash prizes later in the day. Winners will be announced over the radio, and can pick up their prizes from Rally HQ at the end of the event

At the end of the event

When the event finishes, please help us by breaking down your junction, stacking the cones, signs, stakes etc. at your location, and putting any plastic tape in a bin liner, (not wrapped round the stakes, please!)

When you depart, please leave your post stage direction, keep to the camp’s speed limits and remember to hand in your MoD passes at the security gate.

To avoid last year’s delays, we’ve asked the MoD to have the gates open following the end of competition, i.e. at 17.00 or as close to that as possible.
